Summary by Persona (Grouped by Role)
👩⚕️ Clinicians / Therapists
- Therapists will see appointment confirmation changes update automatically on open calendars, and supervising clinicians can keep sessions they assign to teammates visible on their own calendar.
🧑💼 Admins
- Admins and front desk staff will see confirmation and cancellation changes appear on open calendars without refreshing, and Bulk Document Import now handles patients with the same name more safely.
💳 Billers / Guardians
-
Billers: No direct changes.
-
Guardians/Patients: Appointment confirmations and cancellations made through the patient portal now appear on practice calendars immediately.
🚀 New Feature - Calendar Confirmation Status Updates Automatically
👥 Audience: Therapists, Admins, front desk staff
🛠️ Steps to Access: None. Works automatically on any open calendar.
📢 What's new?: When a patient confirms or cancels an appointment from the patient portal, or a staff member confirms an appointment in another tab, every open calendar in your practice now updates on its own. You no longer need to refresh the page to see the latest confirmation status.
🚀 New Feature - Keep Assigned Sessions Visible on Your Calendar
👥 Audience: Therapists, especially supervising clinicians
🛠️ Steps to Access: Account menu > Schedule settings > turn on "Show sessions you've assigned to teammates"
📢 What's new?: Sessions you assign to a teammate can now stay visible on your own calendar. Turn on the new setting and they appear grayed out, so you can see your full day at a glance. Your teammate's calendar is not affected.
🛠️ Fix - Bulk Document Import Flags Patients with the Same Name
👥 Audience: Admins and staff using Bulk Document Import
📅 Date range affected: Since the bulk document importer became available
❗ Issue: When two patients in a practice have the same name, a folder named for that patient could be attached to the wrong one of them. The importer now flags these folders and explains how to rename them so they match the right patient.
✅ Action Steps: If a folder is flagged on the review page, add the patient's date of birth to the end of the folder name in MM-DD-YYYY format (for example Smith John 04-12-2018), put those folders in a new zip file, and upload it again. The upload page now explains this.
