🧑💼 Admins
- Admins can track referrals through a new dashboard, manage payer notes and attachments, review onboarding surveys, and benefit from more reliable provider management and payment records.
💳 Billers / Guardians
-
Billers: Billers can track Early Intervention payments, manage IFSP and per-child billing limits, exclude billing codes by payer, and see more accurate claim and patient ledger information.
-
Guardians/Patients: Families will experience more reliable Teletherapy links and patient messaging, with duplicate messages prevented and family member names displayed correctly.
🛠️ Fix - Clearer Errors When Adding Providers to a Practice
👥 Audience: Admins who manage practices and their providers
📅 Date range affected: Not known; the error has been possible for some time
❗ Issue: Adding a provider to a practice could show an error page instead of explaining what needed to be fixed.
✅ Action Steps: None.
🚀 New Feature - Add Notes and Files to Insurance Companies
👥 Audience: Admins and billers
🛠️ Steps to Access: Open an insurance company from Billing > Insurance companies and click the comments button at the top of the page. Available to anyone who can view insurance companies.
📢 What's new?: You can now keep notes and files on each insurance company, such as authorization rules, claim requirements or payer updates, so your whole team can find them in one place.
🛠️ Fix - Claim Pages Flag Charge Differences Between Insurance Payers
👥 Audience: Billers
📅 Date range affected: N/A
❗ Issue: On visits billed to two insurances, a claim could bill a different charge than the other insurance for the same service, and the secondary claim was then often rejected. Claim pages now point out the difference, with steps to line the charges up.
✅ Action Steps: None.
🛠️ Fix - Teletherapy Session Links Work Correctly
👥 Audience: Therapists, Admins, Patients
❗ Issue: A teletherapy session link copied from the schedule by someone other than the session's therapist, or opened from the plain-text version of the session email, could send the patient to the wrong place. In some cases the session email was not sent.
✅ Action Steps: None.
🚀 New Feature - Start Visit Notes Before Scheduled Sessions
👥 Audience: Therapists
🛠️ Steps to Access: From the schedule, clicking the icon to create a visit note.
📢 What's new?: You can start a visit note up to 24 hours before a scheduled session to plan it. The note can be saved for planning, and can be signed and billed once the session has ended. If a note was written before the session and not updated afterward, you'll be reminded to review it before signing.
🚀 New Feature - Mark Incoming Patient Messages as Complete
👥 Audience: Therapists and staff who receive patient portal messages
🛠️ Steps to Access: Home dashboard, "Recent incoming patient messages". Requires the patient messages permission.
📢 What's new?: You can now mark an incoming patient message as complete. It is removed from your home dashboard, while teammates who share the patient still see it until they complete it too. To see all of your patient messages, click View all on the card. That opens the Patient messages list, which shows which messages you have completed and is the only place you can filter by them. The info icon next to the card title explains this too. You can undo a completion from the message page.
🚀 New Feature - Referrals Dashboard and Reporting
👥 Audience: Admins
🛠️ Steps to Access: Organization Dashboards, Referrals (requires organization management permission).
📢 What's new?: A new Referrals report lists every referral across all patients, with the referral date, source, method, patient status, referring provider and practice. Filter by any of them and export to Excel to see where your referrals come from and how they change over time. You can also choose the referring provider on each referral.
🛠️ Fix - Prevent Duplicate Patient Messages and Show Family Member Names
👥 Audience: Therapists, admins, and families using the patient portal
❗ Issue: Clicking Send more than once could send the same patient message twice, and messages from families showed "Anonymous" instead of the family member's name in the recent conversation history.
✅ Action Steps: None.
🛠️ Fix - Declined Card Payments No Longer Appear as Collected Payments
👥 Audience: Admins and billing staff
📅 Date range affected: Any card charge the card processor declined before this release
❗ Issue: A card charge that the card processor declined could still appear as a payment on the patient's ledger, so the ledger counted money that never arrived.
✅ Action Steps: None. After the release the affected patient ledgers are refreshed and their balances update on their own.
🚀 New Feature - Onboarding Survey for New Practices
👥 Audience: Admins of practices getting started with Ambiki
🛠️ Steps to Access: Our team sends the survey; admins get an email and a reminder on their dashboard.
📢 What's new?: New practices can tell us how they work through a short survey in Ambiki. It asks only what applies to their practice, saves as they go, and helps our team set up their account and plan their training.
🚀 New Feature - Early Intervention Payment Tracking and Reporting
👥 Audience: Billers and admins
🛠️ Steps to Access: Billing > Patient invoice payments. The Program column shows for practices that bill Early Intervention.
📢 What's new?: Patient invoice payments now show the payer and whether each payment is for Early Intervention or clinic services. You can filter by both and export them to Excel, so Early Intervention funds can be reported without separate payers.
🚀 New Feature - IFSP Support and Yearly Early Intervention Unit Limits
👥 Audience: Early Intervention billers and admins
🛠️ Steps to Access: Add the child's IFSP on the patient's School plans tab. Set "Max units per IFSP year" on the code's rule under Billing > Billing code conversions.
📢 What's new?: School plans now include the Individualized Family Service Plan (IFSP), and no school is needed for one. Early Intervention codes can have a limit per IFSP year. A claim that would go over it is held for review before it is sent.
🚀 New Feature - Per-Child Daily Billing Limits for Early Intervention
👥 Audience: Early Intervention billers and admins
🛠️ Steps to Access: Billing > Billing code conversions, edit the code's rule and check "Per child".
📢 What's new?: An Early Intervention code's daily limit can now apply to the child across all of your therapists, not to each therapist separately. Visits later in the day are billed for the units the child has left.
🛠️ Fix - Correct Provider Numbers on Developmental Therapy Paper Claims
👥 Audience: Billers
❗ Issue: Paper claims (CMS-1500) for developmental therapy visits showed the therapist's own provider number instead of leaving it to the practice, unlike electronic claims.
✅ Action Steps: If you already created a CMS-1500 for a developmental therapy visit, open it and use the regenerate link so it picks up this change.
🛠️ Fix - Platform Security and Framework Maintenance
👥 Audience: All users
❗ Issue: Internal platform maintenance to keep Ambiki on a current, secure framework version.
✅ Action Steps: None.
🚀 New Feature - Exclude Billing Codes by Insurance Company
👥 Audience: Billers and admins
🛠️ Steps to Access: Billing > Insurance companies > Edit, "Excluded billing codes" (where payment method exclusions are on).
📢 What's new?: You can now list billing codes an insurance company never covers, once, for every patient. Those codes are left off that payer's automatic invoices. If a visit's services are all excluded for the primary payer, the secondary payer's claim now explains why it can't be sent and what to do.
Thank you for choosing Ambiki.
