🛠️ Fix - $0 Remittances Show How the Check Total Was Calculated

📅 Date range affected: Any electronic remittance received as a $0 check
❗ Issue: When an insurance company sent a $0 remittance that applied claim payments against a prior balance (for example a recoupment or a forwarding balance), the remittance page listed the claim payments but gave no explanation for the $0 check total.
✅ Action Steps: None. A $0 remittance is now marked "Notification only: no funds disbursed", and the remittance page shows a check reconciliation: the claim payments, each adjustment the insurance company applied, and the resulting check amount. Past remittances receive the same details after release.
🛠️ Fix - Appointment Reminders Only Send for Upcoming Appointments
👥 Audience: Therapists, Admins
❗ Issue: When an appointment was added to the schedule after its start time had already passed, the patient could still receive a text reminder for it.
✅ Action Steps: None. Reminders now go out only for appointments that have not started yet.
🛠️ Fix - Additional Safeguards for Bulk Document Imports
👥 Audience: Practice admins / front-office staff who use bulk document import
📅 Date range affected: Not applicable — this is a preventive safeguard, not a fix for a reported customer issue
❗ Issue: We added extra safety checks to the bulk document import tool to make sure imported files stay within a reasonable size. If a file is too large or cannot be read, the rest of the import still goes through and the skipped file is listed with the reason.
✅ Action Steps: No action needed.
🛠️ Fix - Subscription Buyers Receive a Plan Seat Automatically
👥 Audience: Admins, Therapists
❗ Issue: After purchasing a subscription, the person who bought it was not given a plan seat automatically and had to assign one to themselves before they could use the paid features.
✅ Action Steps: None. New purchases now assign a seat to the buyer automatically. You can still change or reassign seats on the subscription page at any time.
🚀 New Feature - Mileage Tracking and Reimbursement Reporting
👥 Audience: Therapists, Admins
🛠️ Steps to Access: Ambiki enables the mileage_tracking feature flag for the organization. An admin then turns mileage tracking on under Edit organization > Mileage settings and adds a reimbursement rate. Therapists with "Create mileage entries" (default for Therapists) find Mileage in their account menu; admins with "Manage mileage [Org]" (default for Admins and Owners) find Mileage in the organization admin menu.
📢 What's new?: Teammates can now log business mileage with decimal miles, reuse recent trips, and see their miles and reimbursement totals for any date range, with one-click ranges for this or last month, quarter, and year. Admins can set a per-mile reimbursement rate, review totals by teammate for any period, and export a summary per teammate, a day-by-day breakdown, and the full list of trips to Excel for payroll or tax time. Each entry also keeps a history of who logged it on a teammate's behalf and of any later edits, so changes made by an admin are visible to the teammate.
🚀 New Feature - Location-Specific NPIs for Claims
👥 Audience: Admins, Billers
🛠️ Steps to Access: Organization settings → Locations → add or edit a location
📢 What's new?: You can now enter an NPI for a location. When a location has its own NPI, claims for services at that location will automatically use it; locations without one continue to bill under your practice's NPI, so nothing changes unless you enter a value. Leave the field blank if the location bills under your practice's NPI, and confirm with the payer if you are unsure. The NPI is used on claims only for payers set to use the event location as the service facility address, and only when the location's address is different from your practice's address.
🔑 Availability: We are turning this on for practices one at a time. If you would like it enabled for your practice, please contact support.
🛠️ Fix - Patient Statements Use a More Relevant Date Range When Nothing Is Owed
👥 Audience: Billers, Admins
❗ Issue: When a patient had no outstanding balance, a new statement covered their whole history and ran to several pages of visits that were already paid.
✅ Action Steps: None. For a patient who owes nothing, the statement dates now default to the month of their most recent visit. You can still change either date before previewing.
🛠️ Fix - Locations Dashboard Information Moved Behind an Info Button
👥 Audience: Admins using the Locations dashboard
❗ Issue: The explanation box at the top of the Locations dashboard took up space above the numbers.
✅ Action Steps: None. Click the new "Info" button at the top right of the dashboard to read how locations and dates are determined.
