How Do I Set Up My Organization on Ambiki

Note: some of our EMR features require a paid Professional plan and are not available during a trial or gifted plan.

When you begin your professional plan organization account with Ambiki, there are a few settings that will be needed for you to set up. 

Organization Settings: These are settings that are related to your organization. If you have multiple users in your organization, changes made in this area will affect your entire organization and all users. These are different than user specific settings or preferences. To set up your organization settings, go to "Organization menu" at the top left-hand corner of your screen. Click 'Edit Organization' 

  • Basic Details
    • Enter all information about your business/organization here. 
    • If you are a private practice, change your 'Organization Type' to Private Practice 
    • If you are a sole proprietor, you should still change your 'Organization Type' to Private Practice.  
    • The Logo you upload here will be the logo used around the website, and on the top of your documentation. You can also turn this off, and create your own branding in Custom Forms, which you can read more about HERE

  • Contact Info:
    • This information is what will be shown at the top of your documentation, and on Ambiki. 

  • Locations and Facilites: This is where you can add locations that your practice provides services. This could be a school, clinic, daycare facility, private practice facility, etc. You can (and should) add any of your own clinic locations as well. These locations can then be used to generate Facility Invoices and to provide a more granular view of reporting at your business. After adding locations and facilities, you can also add unique service rates for each location. From the patient profile, you can also choose from this list to identify the Service Location the patient is treated at. 

  • EMR settings: These are settings about the EMR and Practice Management software that effect your organization and the way they view and interact with the EMR. 
    • General Section: These are different types of 'halts' or 'barriers' you can put into place to stop you from accidently creating a visit note for a client that does not have an evaluation or plan of care in place. These are also rules around diagnosis code entry in this section as well. Additionally, you can require documentation to be generated through the schedule only.
    • Patient Portal: If you want clinical documentation to populate to the portal automatically, you can turn this setting on. This is helpful to eliminate frequent manual sending of clinical documents to families. 
    • Patient Profile: These are the sections seen in the patient profiles. You can choose to hide sections that you don't use on Ambiki. 
    • Caseloads: These are the sections that will be visible that populate different information in the 'Caseloads' tool. 
    • Visit Notes: If this box is checked, the 'Pull forward a previous note' feature will be hidden from the Visit Notes section. You can also require a selection from our 'Skilled Interventions' bank to be included on your visit note.
    • Plan of Care: Set your organizations maximum allowed duration for Plan of Care ends dates.  
    • Dashboards: If opted in, Ambiki collected anonymous business intelligence data to let you see how your practice stacks up compared to others in the nation. 
    • Physician orders: Set the expiration interval so that you are notified of expiring physician order's at a time that makes sense for your practice. 
    • Insurance Billing: This setting allows you to turn Ambiki's insurance automation, that will automatically submit claims when a visit note is signed. It is recommended you complete the entire billing onboarding process prior to turning this on. You can also select from different claim submission delay times as well. Additionally, you can choose to have modifier 59 automatically applied when necessary. If you do not use insurance billing, you can also turn off the "Billing detail" check. 
    • Schedule: This setting allows teammates to edit events or appointments that have been assigned to them by an administrator or practice manager. 
    • Facility Invoicing: You can require therapists at your practice to create a visit note for Facility-logged services. You can also require the selection of a patient when logging a facility service. 
    • Progress Reports: Select the interval in which Progress Reports should be generated. 
    • Print Settings: Hiding your practice's logo is recommended if you have added your own custom branding to your form templates. If you do not want your contact information shown on your documentation, you can change that here as well. 

  • Faxing settings: This is where you can provision a new fax number through Ambiki, or create a port request to port a previous fax number you may already be using. Note that the Fax Directory is found under the Organization Admin area (top right hand bar graph icon) which will show you incoming and outgoing faxes. Physician's orders are also integrated our faxing feature, as you can send faxes straight from the patient's profile without having to visit the Fax Directory. 

  • Payroll Settings: If you are utilizing payroll tracking in Ambiki, you can set up payroll periods here. Payroll information such as teammate invoices can also be found through the Organization Admin area (to generate your organizations payroll) and the User areas (to see your own payroll)

  • Teletherapy settings: If you will be providing group teletherapy sessions and want students/clients to be able to see each other, check the box here. 

Remaining sections can be filled out at your convenience, and are not needed for you to begin using Ambiki.

Additionally, all users will need to set up their profiles to use Ambiki. Teammates must all do this individually. If you have signed up after January 2024, it is likely you may have set these items up when you first logged into Ambiki.
