How to Schedule a single or recurring event
To schedule an event, ensure you are signed in to Ambiki and on the main dashboard:
- On the left navigation, click on ‘Schedule’.
- On the right top-hand corner, click on ‘New event’.

- There are two types of events that you can create a single event and a recurring event.
- To schedule a single event, fill in all details as needed and make sure that ‘Does not repeat’ is selected in the dropdown. Click ‘Save’ when ready.
- Specify the date of the event.
- Enter the duration of the event.
- Select your patient from the dropdown menu.
- Select 'Does not repeat'.
- Click ‘Save’ once finished.

- To schedule a recurring event, fill in all details and select custom schedule in the dropdown.
- Specify the date of the event.
- Enter the duration of the event.
- Select your patient(s) from the dropdown menu.
- Select ‘Custom Schedule’ in the dropdown.
- Select your custom recurrence options:
- Have an event repeated daily or weekly.
- Choose what days of the week to have the event recur.
- Choose whether a recurring event should continue indefinitely or which date it should end.
- You can schedule the event to take place only after a given number of occurrences.
- Click ‘Save’ when ready.
Creating an event from the Teletherapy Front Desk
You can also create a new event from the teletherapy front desk. Ensure you are signed in to Ambiki and on the main dashboard:
- Click on Teletherapy in the left navigation.
- Click on 'Create teletherapy session'.

- Schedule a single or recurring event and save the event (same as the steps above).

This glossary helps clarify the different modes and types of events that can be scheduled.
📍 Modes of Events
These indicate how and where the service or activity takes place:

In-person
The client and provider meet physically in the same location, such as a clinic, school, or home visit setting.

Teletherapy
Services are delivered remotely via a secure video conferencing platform. This mode supports continuity of care when in-person sessions are not feasible.

Out of Office
This status indicates the provider is unavailable due to personal time off, vacation, illness, training, or other non-working reasons. No client-facing services occur during this time.

Other
For activities or sessions that don’t fit neatly into the above categories. This might include administrative work, consultation calls, or custom-defined sessions by your organization.
📂 Event Types
These define what kind of session or activity is being scheduled:

Evaluation
An initial assessment to determine a client's needs, strengths, and areas of concern. Usually conducted before therapy begins.

Re-evaluation
A follow-up assessment that reviews progress or changes since the initial evaluation.

Therapy
Regular, ongoing intervention sessions targeting the client's identified goals. This is the core service in most plans of care.

IEP Meeting
A meeting to develop, review, or revise an Individualized Education Program (IEP). Involves collaboration between therapists, educators, and caregivers.

Observation
A session where the therapist observes the client in a natural setting (e.g., classroom or home) to gather information without direct interaction.

Discharge
The final session or meeting to formally end services. Includes review of progress and recommendations for next steps or future care.
- PTO / Vacation / Sick
Used to block off time when the provider is unavailable due to personal time off, vacation, or illness.
- Meeting
A general meeting not tied to IEPs—can include team syncs, admin discussions, or external calls.
- Commuting
Time spent traveling between service locations, such as schools, clinics, or home visits.
- Supervision
Scheduled time for clinical or peer supervision, mentoring, or required licensure oversight.
- Documentation
Dedicated time for writing notes, reports, treatment plans, or other clinical documentation.
- Lunch
A break period scheduled for meals or personal rest during the workday.
